Applicants

  • Application: request copies of administrative documents or access to an asylum dossier

    With this form the applicant for international protection can request a copy of certain documents and may also ask for access to his/her file.

  • Declaration: appointment of a trusted person

    The applicant for international protection can ask to be assisted by a trusting during the asylum procedure. This person can assist the applicant with his professional knowledge. It is possible to appoint a trusted person with this form.

    Please complete this form, add a copy of the trusted person’s identity card and send this to the Helpdesk lawyers, trusted persons and UNHCR, preferably before the interview. You will find the details on the form.

  • Declaration: renunciation of the application for international protection

    This form enables the applicant for international protection to renounce his asylum application. The CGRS will not continue to process the asylum application.

  • Declaration: Change of chosen residence

    In case of change of residence, it is imperative that the asylum seeker informs the CGRS (CGRA-CGVS) and the OE of their new address.

    To report a change of address, please complete the entire form and send it by registered mail to the CGRS and the OE. The contact details are available on the form.

    In case of change of address, it is necessary for the asylum seeker to communicate their new address to the CGRS and the OE by filling out the form and sending it by registered mail. The contact details are indicated on the form.

  • Medical certificate

    1. This ‘medical FGM certificate’ must be submitted by persons filing an application (for international protection) based on female genital mutilation (FGM) for themselves or for their daughter. It must be completed by a doctor, this can be done electronically.

    -If the certificate mentions that the applicant has not been subject to FGM, the certificate cannot not be older than six months before the day of the personal interview at the CGRS.

    -If the applicant has already been subject to FGM, the medical certificate is valid indefinitely.

    For girls born in Belgium who are less than two years old on the day of the personal interview at the CGRS, no certificate needs to be presented.

    2. This certificate must also be used as part of the ‘FGM monitoring procedure’ introduced by the CGRS. This procedure concerns minor girls who are recognized as a refugee in Belgium because of fear of being subject to FGM. The CGRS wants to make sure that these girls receive efficient protection once refugee status has been granted. Therefore, this certificate must be submitted to the CGRS every three years to prove that the minor girl has not been subject to FGM.

    This form enables UNHCR to inform the CGRS of its intervention in an asylum case.
